Put the checkpoint before the point of no return
Look for the first step that cannot be undone: sending, publishing, paying, deleting, booking. Everything before it can run freely; that step waits for a yes.
Review the decision, not the whole output
A good review screen shows the one thing you need to judge — the reply, the category, the amount — next to the evidence the AI used. If reviewing takes as long as doing the task, the checkpoint is in the wrong place or showing too much.
Three checkpoint patterns
- Approve: the AI prepares, you accept or edit, then it continues.
- Spot-check: everything runs, and you review a sample each day.
- Escalate: the AI handles routine cases and hands anything unusual to you.
Make it easy to say yes
Route approvals to where you already work — an email with approve and edit links, a Slack message, a column in a sheet. Approvals that live in a separate dashboard get ignored.
Earn your way to fewer checks
Track how often you change the AI’s output. When a step goes weeks without edits, move it from approve to spot-check. When it starts needing edits again, move it back.
